How to Plan a Surprise Birthday Setup Without Giving It Away

A surprise party lives or dies on secrecy. Here's how our team coordinates balloons, cake and the birthday person's arrival without spoiling the fun.

Surprise birthday setups are our bread and butter — but they only work when the timing is perfect. Here's the playbook:

1. Coordinate the decoy

Always have a 'cover story' for the birthday person. A casual dinner, a fake errand, or even 'just going to pick up a friend' — they should genuinely think they're somewhere ordinary.

2. Time the setup window

We typically set up 60–90 minutes before the guest-of-honour arrives. Two of our decorators + one logistics person is the ideal crew for a 12×12 ft room.

3. Light it right

Dim the room, switch to warm fairy lights, and place the cake table near the entry so it's the first thing they see.

4. Capture the moment

Have a friend hidden with a phone/camera. The raw reaction is worth every rupee.
